Who this policy applies to
SpecNexa is a business-to-business platform. We process information about business contacts — buyers who submit enquiries, and suppliers who apply to be listed. The platform is not intended for consumers or children, and we do not knowingly collect information from anyone under 16.
Information we collect
- Enquiry / RFQ data — when you submit a request for quotation, upload a specification, or request documents or samples: your name, business email, company, country, and the details of your requirement.
- Supplier registration data — when a supplier applies to be listed: company, contact name, email, country, website, product categories, and any information submitted.
- Contact data — information you provide when you contact us directly.
- Technical data — standard server logs (such as IP address, browser type, and pages viewed) and, subject to your consent where required, cookies and similar technologies. See our Cookie Policy.
How and why we use your information (legal bases)
- To respond to your enquiry, route your requirement to sourcing partners, and provide quotes and documentation — to take steps at your request prior to, and to perform, a contract, and for our legitimate interest in operating a sourcing service.
- To evaluate and manage supplier listings — legitimate interest and, where applicable, contract.
- To operate, secure, and improve the platform — legitimate interest.
- To send service communications and, only with your consent where required, other updates — consent or legitimate interest.
- To comply with legal obligations and to establish, exercise, or defend legal claims.
Where we rely on legitimate interests, we balance them against your rights and freedoms. Where we rely on consent, you may withdraw it at any time.
Who we share it with
- Sourcing partners and suppliers — to fulfil your request, we share the relevant details of your requirement with one or more sourcing partners who may quote. These partners may be located outside your country, including in China.
- Service providers — we use trusted processors to operate the platform, including email delivery (Brevo) and website hosting. They process data only on our instructions.
- Legal and safety — where required by law, to enforce our terms, or to protect rights, property, or safety.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
International data transfers
SpecNexa operates globally and works with sourcing partners in various countries, including China. Your information may therefore be transferred to, and processed in, countries whose data-protection laws differ from those in your own and which may not have been assessed as providing an equivalent level of protection. How long we keep it
We retain personal information for as long as needed to handle your enquiry or supplier relationship, to meet legal, accounting, and reporting obligations, and to resolve disputes, after which it is deleted or anonymised.
